Who we are

This website, nitwgec.com, is run by the NIT Warangal Alumni Association (“NITWAA”, “we”, “us”) for the NITW Global Entrepreneurship Conclave 2026. We are responsible for the personal data described in this policy. You can reach us at sponsor@nitwgec.com.

What we collect

When you submit the registration form we collect:

• Contact details: your full name, email address, mobile number and country.
• Registration details: your registration category, whether you are an NIT Warangal alumnus and, if so, your degree, year of passing and branch; your current status; and whether you need accommodation.
• Payment details: the amount you paid, your UTR or payment reference number, and the payment receipt you upload.
• Optional: your present position, institution or company, company location, how you heard about the conclave, and any remarks.

If you pay online, Razorpay processes the payment. We receive the payment confirmation but never see your card or bank login details.

Our hosting provider automatically records basic technical data for each visit, such as IP address, browser type and the pages requested, to keep the site secure and running. When you submit the registration form, we also keep a scrambled (hashed) form of your IP address for up to a day to limit repeated submissions.

How we use it

• To process your registration and verify your payment.
• To plan the event, including meals, accommodation and attendee materials.
• To share registration, agenda and participation updates with you.
• To keep the website secure and prevent spam.

We process your data on the basis of the consent you give by submitting the form. We do not sell your personal data or use it for advertising.

Where it is stored and who can see it

Registrations are stored in a Supabase database, with a copy in a Google Sheet in NITWAA's Google account. Payment receipts are stored privately on Cloudinary and can only be opened through links held by the organising team. The website is hosted on Vercel. These providers process data on our behalf and may store it on servers outside India.

Your details are seen only by the organising team.

Cookies

This website does not set its own cookies and does not use advertising or analytics cookies.

How long we keep it

We keep your details for as long as we need them to run the conclave and keep its payment records, or until you ask us to delete them, unless the law requires us to keep payment records for longer.

Your rights

Under India's Digital Personal Data Protection Act, 2023 and other applicable laws, you can ask us to access, correct or delete your personal data, or withdraw your consent at any time. To do so, or to raise a concern, email sponsor@nitwgec.com.

Security

The site is served over HTTPS. Registrations are saved through the website's own server, the database cannot be read with public keys, and receipts are not publicly accessible.

Changes to this policy

We may update this policy. The date at the top shows when it was last changed.
